@0:00 - Brad Stropes

some supplemental training that we've developed for our customers to help guide you all when we're not available or before or after our typical training sessions.

Through this process, we'll be going to cover different capabilities of the platform. This initial one that we're going to be going through is going to be around our standard shapes library or our die line library.

So joining myself, I have Kevin Waldman here who may be your project manager, but he is one of our lead project managers.

Kevin, would you like to introduce yourself? Yeah, thanks, Brian. Yeah, guys, I very well may be your project manager on the project.

If not, I'm sure I will probably be in contact with you at some point. So I hope that this training helps.

We're going to act as though I am a customer that hasn't really seen Clerico before. I'll ask questions that we generally see when we first meet with customers and are going through the discovery phase.

And hopefully, some of these questions will be able to answer. or something that one you may have. Wonderful, all right, perfect.

Kevin, thank you so much. All right, so as part of this process, what we're going to be doing is we're going to be going back and forth, as Kevin has mentioned, as Kevin is a customer, he's going to be asking specific questions to help guide you all that most of our customers have.

So to kick things off, as you can see, we are inside of our platform. If you have not already logged in, you want to go to quote.clericosystems.com or qa.clericosystems.com depending on where you all are in the cycle of our implementation.

Select login for contact details are going to be located here. Go ahead and type in your login information. It's going to be brought right here.

So to kick things off, Kevin, what is the first question that you may have for me? Yeah, question I'd have is just how to create a new quote.

Great question. So what we're going to be doing is we're going to be selecting there's two ways to create a new quote.

First of all, if you want to see and view all quotes, you can always select quotes located here. and select New Quote in the top left-hand corner.

Or if we select Home located here, you can select New Quote located here, or if we're a quick ad function, you can select New Quote.

If we don't want to view all quotes, you can always select New Quote located here. So now that we've established a new quote, Kevin, how would you like to start off with this quote, or what questions do you have to kick this initial quote off?

Well, the first question I have is just limitations of the system, if I were to have a junior estimator in.

Is there any way to limit some of the functions of the system? Yeah, absolutely. through our setup screen, you can actually have different users with different login credentials.

You also have the ability to establish whether you have pro mode or what we call essential modes. most of our customers, they start off in essential mode.

If you don't see all the options and you need additional functionality, always check on essential mode or pro mode up here in the upper right-hand corner to turn that on or turn that off.

And that way that you can view all the points. functionality. But again, most customers are off in essential mode just to get them up and running through our training process.

Perfect. And then when we start a quote, sometimes they'll go in numerical order. Other times with different customers, we'll have to change that quote number.

Do we have that ability? Yes, you can change the quote number up here in the upper left hand corner.

Again, most of time it's just going to be add out to our next quote ID followed by a precursor.

But you can always change this. can also establish a precursor in the back end in our setup screen as well.

Great. And then the first step of my quote typically is to create or choose a pre-existing organization. Could you show me how to create or change or choose an organization?

Absolutely. Yes. to select your organization, what you want to do is want to start typing their contact detail up here in the customer information screen.

You don't see it. You can always type in two letters and select backspace and that will give you a list of all our customers.

But most of the time you're just going to select the first two letters and that's going to bring in the organization information.

You can also expand on this as well and you can see you have your different organization information. So your contact detail located here, your billing, your shipping address information.

If you need to add or change, you can always add addresses located here or add contacts located here. You also have your parameters functionality located here as well.

This parameter functionality is going to give you the ability to change your terms, your locations, your price books, the estimator who's established there.

Basically any contact information or details on this customer or this organization. Most of the time you're going to be established one time when you're out of the customer in there.

So this is going to be pre-established. Most of the time as well, a lot of customers will add a description field into here just so that they can.

search it on that quote screen. So a lot of times if this is a certain customer or sort of die line or a certain job, make sure to establish that description information in here.

It makes it easier to search for it in the future. Great, and now if I were to want to import a file, I know we've gone over that, but if I were to just want to use a standard shape like an RSC or an FOL, how would I go about that?

Yeah, great question. So yeah, you're exactly right. So we will go through how to import your files, which is located here or your library, but today what we want to cover is our standard shape library.

So to do that, I'm going to select shapes located here, and this is going to bring up our standard library.

Down below, you can see I have different groups that we can have established. So if I want to have a FOLTING carton group, we can search based on FOLTING cartons, so we can go ahead and grab that.

Or if we want to run through a corget, we can go ahead and run through that. So today the corget shape that I'm going to start with is just going to be a simple, basic.

RSC, which is located here. So I'm going to click on the RSC and then over here on the right-hand side, this is where you can change the dimensions located here.

So if we want to go ahead and establish things like our length, our width, our height located here, and then our materials as well.

You can always select your materials located here and your thickness located here. Great. Some of my customer customers request scoring on these boxes.

Could you show what that looks like and do we need to change that? Absolutely. here you can see that we actually have scoring already established.

Based on the shape, you will have another input box located here, just like this tab. In this shape, I do not have it, but most of time you can go ahead and select 0.1, which would be your first score comma.

0.2 which will be your second score and again that's going to be based on the depth of the box in the top to the bottoms This is just pre-established scores just for this example But most of the time our customers are going to have a scoring function that's going to be exposed here And you can go ahead and type in the scores and again That's going to be based from the depth down to the bottom and where you want those scores to be Layout can you show me how to do that?

Yeah? Absolutely before we get to the layout Let's go ahead and take a look at how we go ahead and establish our names our revisions things like that and then our quantities So to change our our name inside of here before we get to the layout we can go ahead and give it this Dyline any kind of name that we need to so for example here We can go ahead and call this Dyline 456 just as an example If there's any kind of revisions that we need to establish we can go ahead and establish that and then our quantities

we may want to have. So this is going to be your initial quantity. We'll touch on how to do price breaks here next.

And then if there's any kind of class codes that we need to have, you can also use that. If you do not see this functionality, that means that your organization doesn't use class codes at this stage.

Don't worry about it. Not necessary. Same thing with things like your inventory location. If you're a single location, you won't see that detail.

Next, we can go ahead and select save and continue to our image layout. In this training, we're not going to be going through image layout.

But we will be going through the nesting functionality that you requested here, Kevin. So I'm going to go ahead and select grid nest located here.

that'll go ahead and give us our nest. So you have a few different capabilities. You have grid nesting, single part nesting, single part nesting will allow rotation.

Kit nesting, that is, if I want to have multiple parts on the same sheet, we can select a two, a four up as an example, maybe two tops and two bottoms.

That would be a kit nest. And then at that stage, you would have a kit nest capability over here where you can type in the quantity.

Again, we're not going to cover that today. For right now, we're just going to select grid nest, which is located here, and you can go ahead and select grid nest here.

Great. And if I wanted to override that layout, given that it gave me a layout to begin with, how would I go about that?

Yeah, so you have some different ability to manipulate this layout. So one capability is if you want to go ahead and override something like the sheet size.

So if I want to just do a 32 by 40 as an example, we can always type in 32 by 40, and then I'll go ahead and override our sheet size to say this is the exact sheet size that we're going to be using.

You can always select trim sheet here as well. So if you have a standard sheet size from your drop down here, such as our 34 by 42 here, I can always select trim sheet and that's going to give us our exact sheet that we have, and we're going to be using 29 by 37.

Just be aware you're going to have a clearance, is going to be your edge distance and your gutters. which is your space in between parts, which is located here as well.

Next, you also have the ability to change it based on the grid layout. So let's say that you want to run a four-up, you can always type in two by two, and that's going to go ahead and establish a two by two or a four-up on the sheet and give you that.

Always check on your master sheets up here to make sure that those master sheets would match what you're looking for.

You also have some information up here such as your material cost and your short grain versus long grain up here in the upper hand corner as well, which you can change as well.

If you have grain constraint turned on on this part, it will not allow rotation. So just be aware that when you start switching short grain to long grain, sometimes you won't get the exact rotation that you're expecting.

And that's because we have grain constraints that are already established on the part itself, and now we're requesting the sheet to move, which will not allow these parts to nest.

And how do I add operations? To add operations, we can select next located here and we can add operations here.

So what we can do is I can go ahead and search for and select something like our die cutter here.

Our operation is die cut. can add different pieces of equipment. So we can go ahead and select our equipment located here.

And as you can see down below, we're going to have different what we call calculators for these different pieces of equipment.

So, for example, on our bops, we have a per sheet untime, which we have established here. And again, your environment might be look a lot different in this environment.

But when you're all complete and we like our operation, we can go ahead and select add operation located here.

We can also go through a few more, such as offset printing, some of our customers have an offset printer.

can go ahead and select offset printing, we can select our inks, so we can select our inks here. can select add.

You can see we have a number of plates, our coverage factor, our coverage. If you ever want to edit your coverage or your coverage

factor, you can always edit it located here. You can select update. And then when you're happy with the inks that have been added, you can always select add operation here.

Or if you have something like a folder or fold and glue, you can always select old fold and glue located here, and you can add that as well.

Again, your environment is probably going to look different than this environment, but this is just an example that we have of multiple different ways that our calculators can fire.

If you want to change, or if you need to edit anything, again, anytime that you would see this piece of paper, this pencil, you can always select edit located here.

You can change things like your runtime located here, update operation. And then when you're all done with all of your operations, and they have all been added to your line item, you can select finish located here.

Okay, if I were to add price breaks, how would I go about that? Sure, you have to add price breaks.

can always select price breaks located here, and you can go ahead and give it your quantity here. we can go ahead and type in something like

2,000, 4,000, 6,000 and then we can go ahead and select add located here and then to view your price breaks, you can always go into price breaks here and you can view your break down.

We have two ways that you can do price breaks. We can do inline price breaks and then we can also do let's your quantity and then inline price breaks which is line items.

Most time customers are going to want to do in this industry line item price breaks and that will add an additional line item to each of these but you can also do a quantity matrix as well which will bake it in but most of the time you're going to want to do a line item price break.

Okay, I see that there's a bar at the top with a summary of my cost materials and operations but then there was also a bar in the line item itself.

Can you explain the difference between those two? Yeah, absolutely. So this is what we call your summary bar. So this is going to be for every single item inside of this quote.

So if we take a look at something like our cost summary located here, you can see all of your costs are established in here.

This is where you can change your markup or margin. So if I want to change my margin on my material versus my margin on my operations versus an overall kicker, you can do that here.

If you'd also like to change your cost on an individual basis, you can always change it by selecting edit here.

So for something like my material that I want to establish $2 per sheet, just as an example, you can always update that here or my bopsed hourly run rate, you can always edit down below and change things like your hourly run rate for these different costs.

You also have your material summary. This is where you're going to have your total overall quantity. Things like your spoilage are going to be baked in here as well.

Any kind of detail that you want to, if you're running things like forms, you can always see your summary here.

And then your operation summary as well will be stored in here, which will have all of your operations that are established on those.

On the individual line item, We also have a detail for each line item, so very similar to above where we have our materials, things like that, materials and operations.

Your information for each of these items is going to be down below. So I want to change just for this one line item or cost per sheet.

You can always do that here rather than doing it on the summary above or if you want to change something on the operation, you can always select operation here for this individual part and then you can view your operational information.

So this is going to be your part detail. This is going to be your summary up above. Awesome. And when you were in the cost, I know that we're talking about shapes, but talking about the material costs themselves, that's all that you had at dollar per sheet.

What if I did it dollar per ton or if I did by MSF? Can we change that? Yeah, absolutely.

So however that you're established as a customer, you can always change. You are a default located here. So depending on how your function or how you're

Materials are stored inside of our system. Yours is going to probably look a lot different than this does here and will be established through your settings.

Got you. Just a general question. If I were to look at the spoilage in an operation or the waste sheets, how do I do that?

Yeah. change or edit any operation or to look at spoilage, you can always select part operations by expanding on the line.

You can always click on the name of the operation and then it'll give you a lot of information down below.

If you want to specifically look at spoilage on a preparation basis, you can always select this little icon and it'll expand the information for the different operations.

This has a lot of detail in it. If you're trying to change things like calculator information or run rates, you can always select it located here by typing in a value.

If you want to see just your spoilage here, you can always highlight and look at what your spoilage looks like here on the right-hand side.

different operations. So for my offset printing operation, my make ready, as an example, you can see our spoilage here, which has 100 sheets, which is going to be for just my make ready, and then I have a run rate spoilage of 1.25%, and that'll go ahead and give us our spoilage for each additional operation there.

Great. And what's the question when I'm finished with the quilt? Yeah, so if we want to go ahead and finish, you can always like to finish located here.

One thing I'd like to just add to, if you want to change any kind of operation in detail, we've kind of covered this before, but if you want to change, you know, our per sheet run rates or anything like that, always click on the eye icon here.

You can always see what type of calculator we have, like a fixed time calculator. can see this is a fixed time of 10 minutes.

This is a per sheet quantity. So if I want to say I'm running this at 8,000 each an hour, if I want to do it at 12,000 sheets an hour, you can always change that located here as well.

If it It doesn't stick. That means that you don't have the capability to change that, so you don't have the rights to do that.

But most of our customers, if you are the admin, you'll be able to override that detail located there. But yeah, when you're all done with this quote, you could always select Finish down here on the bottom right hand corner.

And this will bring you to your summary page. So as a part of the summary page, you're going to get a breakdown of your materials, your breakdown of your costs, and just a really good summary overview of everything that is inside of this quote, so you can see your materials located here, your operations located here, things like that for the entire quote.

So this is a really nice summary page that will give you a breakdown of all the costing information that's been established in this quote.

If I were to want to send this quote to a customer, I'd do that out of Clerico. You can.

Yep. two ways you can do that. One is you can select Send by clicking Send here. You can go ahead and type in or use the customer contact detail to select the.

um email address located here. You could also establish templates in the back end with your um setup in the back end and then you can see we have your report located here or if you want to just print your report you can go down through your list reports, select the exact report that you would like to and just click on it and then you can always download that to a Microsoft Word make any change that you need to and then send that out as well.

Perfect and if I were on this finished screen then I realized I missed something on the quote. Can I go back and edit that quote?

You can. Two ways you can do that is you can edit it by selecting edit located here or if you want to search for this quote you can go back to your quotes by selecting votes here or on the home screen or over here on the left hand side you can click on quotes and then it'll bring you to every single quote inside of the system.

You can highlight this quote you can edit this quote by selecting edit here and if you'd like to edit just a line item you can always click on the piece of paper with a pencil here by selecting edit.

it, and that'll bring you back to the very beginning. Or if you want to edit multiple parts in the quote, again, you can click on the summary bar.

So if I want to edit these three line items, you can select edit located here. And again, that'll bring you back to that very beginning.

Great. Just a couple more questions. If I were to update a operational runtime and realize that I actually want to go back to the automated calculation that clear code spit out, how do I get back to that?

Yep, good question. So at any point in time, if you override anything inside of our system, you can go ahead and you'll be notified with the text where actually you turn red.

So for example, if I go into here and I type in 60 or I type in $1, whatever it may be, you can see that we get a notification here.

But at any point in time, you could always through, and you can exit out of it, and you can select tab, and that's going to get back to the original amount that we have.

So that's for anything inside of the system. So a great example is if we take a look at our run rate calculators inside of here where we have our different run rates established, if I want to override something, we can always go right it again by typing it into the input value, that'll change it, and then I'll update our input value, but then also our run time as well, so you can see it just changed there.

But if you want to go ahead and go back to the original, just backspace tab, and that'll go and update to that original amount.

Awesome, I think that's all the questions I have today. All right, wonderful. Well, thank you, Kevin so much for joining me here, and thank you to our customers for going through this.

If you have any additional questions or requests, feel free to always reach out to our support team. Thank you.
